Terms of Service
1. Scope
These Terms govern access to Business AI by businesses and people acting for a business or professional purpose. The service is not offered for personal or household use. By creating or using an account, you confirm that you have authority to act for the relevant business.
2. The service
Business AI provides AI-assisted customer enquiry handling, lead and action management, booking support, Business Knowledge, billing controls and optional AI Marketing. Features may change during the Pilot. AI Phone Calls remain unavailable unless separately enabled in the product.
3. Service-provider information and electronic contracting
The service-provider identity and contact information shown above forms part of these Terms once configured. Before a paid order is placed, Business AI shows the selected plan/add-ons, price, billing interval and relevant allowance so the user can review and correct the selection. The applicable Terms remain available through the Legal centre in a form that can be stored or reproduced.
4. Accounts and security
You must provide accurate account and business information, keep login credentials secure, use individual accounts where available, and promptly report suspected unauthorised access using the contact route shown in the Legal centre. You are responsible for activity carried out through authorised users of your workspace.
5. Customer data and your responsibilities
Your business decides why customer enquiry data is collected and how it is used. For that processing, your business is normally the controller and the Business AI operator acts as processor under the Data Processing Agreement. You must establish an appropriate lawful basis, give customers the required privacy information, respond to their rights requests, choose appropriate retention and avoid collecting data that is not needed.
6. AI outputs and human review
AI-generated content can be incomplete or wrong. Business AI is an operational assistant, not a substitute for professional judgement. You must review important outputs, prices, marketing claims, booking information and communications that could materially affect a customer. Business AI must not be configured to make solely automated decisions that have legal or similarly significant effects on individuals.
7. Acceptable use
You must comply with the Acceptable Use Policy. You must not use Business AI for unlawful activity, deceptive impersonation, spam, security abuse, discriminatory decisions, high-risk automated decision-making or content you do not have the right to use.
8. Business Knowledge and content
You retain rights in content and business information you upload. You grant the Business AI operator the limited rights needed to host, process and use that material to provide the service to your business. You are responsible for ensuring uploaded material is accurate, lawful and does not infringe third-party rights.
9. Marketing and connected platforms
Where optional social publishing is enabled, you remain responsible for approving lawful and accurate marketing content, complying with advertising and direct-marketing rules, and complying with connected-platform terms. Automated publishing must not be used for unlawful unsolicited marketing. You should disconnect integrations you no longer use.
10. Plans, add-ons, prices and payment
Where paid billing is enabled, the price, billing interval, included allowance and optional add-on charges shown immediately before checkout form part of your order. Any applicable tax treatment must be shown clearly in the checkout before a public paid order is accepted. The service is digital and has no physical delivery charge. Recurring subscriptions continue for the stated billing period until cancelled. Stripe provides supported payment processing; raw payment-card details must not be entered into Business AI customer chat.
11. Cancellation
You may cancel renewal using the billing controls made available in the product. Unless a checkout term says otherwise, cancellation takes effect at the end of the current paid billing period and access continues until then. Nothing in these Terms removes rights that cannot lawfully be excluded.
12. Refunds and billing errors
Fees already charged are normally non-refundable where the paid service remains available for the billing period, including where a business cancels renewal part-way through that period. If Business AI makes a duplicate charge, charges the wrong amount, or a paid service is materially unavailable because of an error attributable to Business AI, contact the operator using the Legal centre contact route. Confirmed billing errors will be corrected and, where appropriate, the affected amount will be refunded or credited. Nothing in this section limits any refund or other right that cannot lawfully be excluded.
13. Availability and changes
The Pilot may be changed, suspended or withdrawn. Business AI does not promise uninterrupted availability. Maintenance, provider incidents and external-platform changes may affect the service.
14. Intellectual property
Business AI and its software, branding, interface and service design remain the property of the operator and its licensors. These Terms give you a limited, non-exclusive, non-transferable right to use the service for your own business during authorised access.
15. Confidentiality
Each party must take reasonable steps to protect non-public business information received from the other and use it only as needed for the service, except where disclosure is required by law or the information is already lawfully public.
16. Suspension and termination
Access may be restricted or suspended where reasonably necessary for security, non-payment, material breach, unlawful use or protection of customers or the service. On termination, personal data is handled under the Privacy Notice and DPA, including applicable return/deletion obligations.
17. Liability
Nothing in these Terms excludes liability that cannot lawfully be excluded, including liability for fraud or for death or personal injury caused by negligence. Subject to that, neither party is responsible for indirect or consequential loss. For a paid service, the operator's aggregate contractual liability for events in a 12-month period is limited to the fees paid for the affected service during that period, only to the extent that limit is lawful and reasonable.
18. Changes to these Terms
Material changes are versioned. When a new version requires acceptance, the product asks an authorised user to review and accept it before continuing.
19. Law and contact
